I dont want to have to plug the UPS in then un plug it so it runs on the battery. if i have no power to start the prosses then its a bit useless. any sugestons would be great

Did your UPS come with a CD and software? It should have a test facility to run on your UPS without having to unplug it to test it.
I’m not sure if you’re referring to unplugging the UPS or the computer or both to initiate the UPS backup?
Either way, I either unplug the UPS or computer, or use the software to do any diagnosing and backups.

Most UPS devices require you to fully charge them before actually using them. Once the device is ready to go, you can leave it plugged in and if the power goes out the UPS will indeed take over the job for the specified length of time. Many UPS devices have test features that let you see the statistics on the device from the front without touching the power on/off switch or AC cord. If yours does not, it may have a GUI interface that you can look at after placing the UPS on the network. If it does not have either the GUI or the front panel access you can’t really do anything but unplug the device to interupt the AC flow and see if it comes on line.
